How to request a quote and place an order

A clear request gets you a faster, more accurate quote. Here's what to put in your RFQ and how things move from quote to purchase order.

Last updated

The process in short

Request a quote through the quote page on our website, or email or message us your product list and specs. Once we receive it, an account manager reviews it, asks about anything missing, and sends you a quote.

  1. Request: send product details and trade terms.
  2. Review: we confirm specs, quantities and certification needs.
  3. Quote: we send unit prices, cost lines and lead time.
  4. Samples: where needed, samples lock in quality and spec.
  5. Order: terms are confirmed and production or purchasing starts.

Step by step

1

Fill in the quote request

Enter your company and product details on the quote page. For long product lists, attach a spreadsheet or spec sheet. Tell us whether it's ready-made goods from Yiwu market, OEM production, or one of our partner-factory products such as capsule gacha machines or interactive whiteboards, so we can route it to the right person.

2

Review and requirements check

We review specs and quantities and check the import requirements for your market (for example CE in the EU, KC in Korea, FCC in the US) and the likely HS code. If anything is missing, we ask now.

3

Receive your quote

We usually reply within one business day. Quotes that need supplier checks can take a few more days depending on scope. The quote shows tiered unit prices, sourcing, QC and logistics costs, lead time and the Incoterm.

4

Approve samples

We recommend approving a sample before the main order. The approved sample becomes the standard for pre-shipment QC.

5

Place the order and pay

Once terms are agreed, we issue a purchase order and proceed on the agreed payment terms (for example deposit and balance). Invoicing is set up to fit your trade structure.

What to include in your request

The more of this you can fill in, the more accurate the quote. Leave out what you don't know and we'll work it out with you.

  • 🏢 Company: name, country, tax or registration number, contact person, sales channel (wholesale, retail, online)
  • 📦 Product: photos or reference links, and specs such as material, size, color and power source
  • 🔢 Quantity: first order and expected ongoing volume. We can quote by quantity tier
  • 💰 Target price: any unit price or retail price you're working to
  • 📅 Timing: when you need the goods at your warehouse
  • 🚢 Trade terms: preferred Incoterm (EXW, FOB, CIF, DDP), destination port or address, nominated forwarder if any
  • 🏷️ OEM requirements (optional): logo, packaging design, manuals, labels
  • 📋 Certifications and HS code (optional): certificates you already hold, or a confirmed HS code

The HS code drives both the duty rate and the import requirements. If you're not sure of it, send as much product detail as you can and we'll check the likely code, with a customs broker if needed.

Checklist before you send

  • Product photos or links and key specs are included.
  • Expected quantity and target delivery date are stated.
  • Preferred Incoterm and destination are stated.
  • For products that need certification, the target market is clear.
  • Your company details are filled in.

PTO China works with business buyers only. We don't take single-item orders for personal use.

Frequently asked questions

Where do I request a quote?
Use the quote page on our website and fill in your company and product details. For long product lists, attach a spreadsheet or spec sheet. You can also email or message us directly.
How long does a quote take?
We usually reply within one business day. If we need to confirm prices and MOQs with suppliers, the full quote can take a few more days depending on how many products are involved.
Does the quote include freight and duties?
That depends on the Incoterm you ask for. FOB covers costs to loading at the Chinese port, CIF to your destination port, and DDP to your door with duties paid where that's workable. We can also estimate import duty from the HS code.
Can I request a quote without knowing the HS code?
Yes. Send as much product detail as you can and we'll check the likely HS code, with a customs broker if needed. The HS code decides both the duty rate and import requirements, so it's worth confirming before you order.
